Copy Applicant Reasons for a Transfer Group

The Applicant Reasons are those reasons that are expressed by the applicant, either online or on a paper application form. These reasons must be validated before they can be used to rank applications Reasons are validated using the Local Authority Reason fields, which are displayed in Preference Details. The Local Authority Reason fields also include some additional information, such as the measurement of home-school distance where this is a selection criterion.

The Local Authority reasons must be completed, either manually or using one of the Copy Reasons processes, before applications can be ranked. For a single student you can use Copy Applicant Reasons on the Applicant Details page. For an entire transfer group, use the Copy Applicant Reasons pre-processing routine via the Process button on the Process | Transfer Groups | Students tab.

You should verify the reasons the applicants have given for preferring each base and then copy these into the Local Authority reasons.

Select Copy Applicant Reasons and then click the Process button to copy the applicant reasons to the Local Authority reasons for all students in the transfer group.

All applicant reasons that have an entry are copied except for: Catchment, Feeder Link, Special Reasons 1, 2 and 3 (and their Weighting), Staff Child and Memos.

If Make Offers, Resolve Offers or Final Allocation has been run then you are warned about possible inconsistencies due to the preference reasons being overwritten. If you do not wish to overwrite preference reasons, then the process is cancelled.

One displays a confirmation message displaying the number of students that were affected once the process is complete.

The Local Authority reasons of Catchment, Feeder Link, Special Reasons 1, 2 and 3 (and their Weighting) and Memos are never overwritten and must be manually changed if necessary.
