Aspects
Aspects are set up in Focus | Aspects Management | AspectsAspects . This opens the Aspect Definition Enquiry.
Aspects are defined as a method of defining any criterion that can be used to record a measure of performance against a student. They are used to hold Results against a Student which can then be viewed within Marksheets and included in data analysis.
Aspects enable student results to be recorded against national assessments such as Foundation Stage Profile and Key Stage 1, Key Stage 2 and Key Stage 3 as well as locally defined assessments.
The following data elements make up an Aspect:
- Name - mandatory
- Code - mandatory
- Active Indicator - set to True by default
- Author - mandatory drop down list
- Supplier - system generated
- Key Stage flags - set to False by default
- Aspect Type - mandatory drop down list
- Age
- Grade
- Marks Decimal
- Marks Integer
- Comment
Enquiry and Details:

The Aspect Enquiry will allow the user to search the system to see if an Aspect already exists. The user can search on any combination of the following data items: Name, Code, Author or HierarchyHierarchy. Clicking Search will return a list, matching the selection criteria. You may expand or collapse the panel by clicking the iconicon.
When using the Hierarchy option the Hierarchy tree will be displayed and you are able to select the required branch you wish the search to be carried out on.
Click the Next and Previous icons to move to a different record and view the Aspect Details in the panels below. Click on a column headingheading to change the order of the browse.
Double click on a record or highlight a record and click the Open or Open in New Window icon to view the Aspect details. If the Aspect is not found then a New one can be created.
Click Delete to remove an item. You will be prompted with a messagemessage.
If you have an existing Aspect which includes similar attributes, clicking the Clone button will automatically duplicate the selected Aspect allowing you to edit the contents rather than repeat the details for a new Aspect. In order to save this cloned Aspect the Aspect Name and Code MUST be changed. A warning errorerror will appear.

On selecting an Aspect a link to Gradesets will be available in the Links panel. This will provide a quick link to Maintain Gradesets to enable the user to create the required Gradeset for a new Aspect.
An Aspect must have a Gradeset. An Aspect can only have one Gradeset assigned to it.
The Aspect Details are:
- Name - a unique identifier
- Code - a unique identifier
- Description - an editable free form, scrollable, text box in which to enter brief details relevant to the Aspect
- Version5 - shows True if Aspect was created in Version 5, False if not - only used for historical purposes
- Active - shows True if Aspect is active, False if not - defaults to True
- Author - the name of the person who defined the Aspect
- Supplier - a read only field showing the origin of the Aspect - automatically populated
- GCSE Equivalent - optional data item used to determine the value of a course in relation to a full GCSE (Key Stage 4).
- Key Stage 1/2/3/4/5 - flags used to identify those aspects which are relevant to the national assessment measures
Aspect Definition:

The Aspect Type will determine the required data elements of the Gradesets. The system default type is Grade as this is considered to be the most common requirement. Choose from:
- Age - displays lowest and highest reading age of the AspectAspect
- Grade - expresses the Aspect as a grade, showing a character grade and equivalent value grade. The system will display a list of self created Gradesets only. If a new Gradeset is required use Gradeset focus from the Tools menu.
- Marks Decimal - displays lowest and highest acceptable marks in decimal formatdecimal format
- Marks Integer - displays lowest and highest acceptable marks in whole number formatnumber format
- Comment - a Comment Aspect will not have a Gradeset associated to it.

Lists the Hierarchies that the Aspect is linked to. Click on the link to open the Aspects Hierarchy.

- QANQAN
QAN (Qualification Accreditation Number) data is stored in the One database and Aspects can be linked to the Discount Code (LEAP Code) present in QAN Codes.

A user is able to Create, Review, Update and Delete links between Aspects and Discount Codes (LEAP Code).

- TargetTarget
Target allows the user to flag an Aspect as a Target. Therefore the value that has hitherto been considered as a result is actually a target value.
Viewed against a student this becomes a desired outcome rather than an historical event.
Viewed against a grouping, such as a cohort, the target aspect forms an element of a threshold formula such that the system can store a target such as '60% of the group shall achieve a grade C for a particular aspect'.

Aspects Hierarchy
The Aspects Hierarchy is opened from Focus | Aspects Management | Aspects | Aspects HierarchyAspects Hierarchy . This opens the Aspects Hierarchy Enquiry panel.
The Aspect Hierarchy allows Aspects to be grouped together in multiple layers, as required by the Local Authority, to provide more manageable and meaningful groupings of Aspects.
An Aspect Hierarchy can be used within the Aspect Definition Enquiry to allow the searching and selection of required Aspects to be more intuitive.
- A Hierarchy can be made up of as many sub levels as required
- An Aspect can belong to one or many Hierarchies
- An Aspect can belong to one or many sub levels within a single Hierarchy
- An Aspect can be added to an Aspect Hierarchy and an Aspect Hierarchy can also be added to another Aspect Hierarchy. This will allow you to build up hierarchies ove time.

The Aspect Hierarchy Enquiry will allow the user to search the system to see if an Aspect Hierarchy already exists. Enter a full or partial NameName. Clicking Search will return a list, matching the selection criteria. You may expand or collapse the panel by clicking the iconicon.
A search is carried out on the top level of the tree and will not take account of any additional branches within any given hierarchy.
Click the Next and Previous icons to move to a different record and view the Aspect Hierarchy Details in the panels below. Click on a column headingheading to change the order of the browse.
Double click on a record or highlight a record and click the Open or Open in New Window icon to view the Aspect Hierarchy details. If the Aspect Hierarchy is not found then a New one can be created.
Click Delete to remove an item. You will be prompted with a messagemessage.

This panel is opened from the Aspects Hierarchy Enquiry. The Hierarchy is displayed in a tree view which can have as many levels attached to it as required.
An Aspect/Aspect Hierarchy can belong to many hierarchies or many branches of a hierarchy.
The attributes for each Aspect Hierarchy are listed below the tree:
Right click on the default hierarchy name to perform the following tasks:
Alternatively highlight the hierarchy and click the Add Hierarchy, Remove Hierarchy icons.
If there are Aspects/Aspect Hierarchies linked to the Hierarchy you will be prompted with a messagemessage when trying to Remove it.
Highlight an Aspect/Aspect Hierarchy and use the Move Up or Move Down buttons to move the current Hierarchy node up or down as required.
Clicking a plus sign will expand the tree to reveal the Aspects linked to the Hierarchy. Click on a minus sign to collapse the tree.
Aspects can be removed from the Hierarchy by clicking the Remove Aspect icon or right clicking on the Aspect.
To add an Aspect or an Aspect Hierarchy to a Hierarchy highlight the relevant Hierarchy and use the Select dropdown to either Select Aspects or Select Aspect Hierarchies.

The Select Aspects to Add to Hierarchy panel opens on the right hand side of the page.
Use the Aspect Enquiry panel to search for Aspects. You can searchsearch on any combination of Name, Code, Active Indicator or Author.
Clicking Search will return a list matching the selection criteria. You may expand or collapse the panel by clicking the expand iconicon.
Use the Select icon to apply the Aspect to the selected Hierarchy. Add Aspects to selected top level or sub levels of the hierarchy as required.
The Selected Hierarchy Definition is listed below showing Name, Item Type and Description.
Select Save to confirm the amended hierarchy.

The Select Aspects Hierarchies to Add to Hierarchy panel opens on the right hand side of the page.
A text box is available to allow you to Look For Aspect Hierarchies. Click on the expand icon to Refresh the Tree.
Clicking a plus sign will expand the tree to reveal the Aspects Hierarchies linked to the Hierarchy. Click on a minus sign to collapse the tree.
Highlight the Aspect Hierarchy and click Select or double-click to select a specific Aspect Hierarchy.
The Selected Hierarchy Definition is listed below showing Name, Item Type and Description.
Select Save to confirm the amended hierarchy.
Gradesets
Gradesets are accessed in Focus | Aspects Management | GradesetsGradesets . This opens the Gradeset Definition Enquiry.
A Gradeset identifies the valid values (Grades or Marks) for a particular Aspect at particular points in time (Gradeset History).
A Gradeset or Markset is used by the system to ensure only valid results are recorded, by using the Result Date and Gradeset History.
A Gradeset is made up of the following data values:
- Gradeset
- Gradeset History
- Start DateStart Date
- End Date
- Grades
- Grade
- Value
- Description
A Gradeset History is able to contain multiple history records. Within Grades multiple valid Grades can be held against a Gradeset History.
Enquiry and Details:

The Gradeset Definition Enquiry will allow the user to search the system to see if a Gradeset already exists. Search on a combination of Name, TypeType or Description. Clicking Search will return a list, matching the selection criteriaselection criteria. You may expand or collapse the panel by clicking the expand iconicon.
Click the Next and Previous icons to move to a different record and view the Gradeset Definition in the panels below. Click on a column headingheading to change the order of the browse.
Double click on a record or highlight a record and click the Open or Open in New Window icon to view the Gradeset Definition Details. If the required Gradeset or Markset is not available then selecting the New icon will allow you to create a new Gradeset or Markset.
Click Delete to remove an item.
An existing Gradeset may be replicated by clicking the Clone button. This allows you to create a new Gradeset, with a new name, but with the same attributes.

The Gradeset Definition is opened from the Gradeset Definition Enquiry. It contains two panels: Description and Gradeset Details.
A Wizard is available allowing you to move through each panel by clicking Previous or Next instead of scrolling down the page. Click the Wizard icon again to return to a scrollable form.
Gradeset Description
Holds information relating to the Name of the Gradeset, Description and SupplierSupplier.
When opening an existing Gradeset supplied by an external source, the Description and Supplier will be read-only, the Gradeset name may be edited.
When a Gradeset is exported from your Local Authority the Supplier will be recorded as 'PUL<LA Number> eg PUL 902

This panel holds the following information:
- Type
- Gradeset History
- Grades
- Marks
The additional information required will depend on the selected Type.
If the Gradeset is owned by your Local Authority or the Supplier field is blank the details may be edited and a history created.
Type
For a Gradeset the following Type will apply:
- Grade
For a Markset the following Types will apply:
- Decimal - to 2 decimal places
Top Mark - 0.00
Bottom Mark - 0.00 - Integer - whole number
Top Mark - 0
Bottom Mark - 0
Gradeset History
A Gradeset must have at least one history, containing a Start Date and an open End Date.
Each pair of Start Dates and End Dates represent a period of time when a set of Grades have been valid. The latest set of valid Grades will have a Start Date but no End Date.
When a Result is entered it is applied against an Aspect which in turn is associated with a Gradeset, Gradeset History and Grades. The Result Date will be used to determine if the Grade being entered is valid by referencing the Gradeset History.
- A Gradeset must have a Gradeset History and a Grade
- A Gradeset History must have a Gradeset and a Grade
- A Grade must have a Gradeset History and a Gradeset
Click on the Add icon to add a new Gradeset History. The Start Date will default to -01/09/1990, but this can be edited. Use the Insert icon to add a new Gradeset History between the existing dates. A Gradeset History can also be deleted by clicking on the Remove icon.
Grades/Marks
If the Type selected is Grade then the Grade, Value, Description and MemoMemo will appear in the browse below the Gradeset History.
Click on the Add icon to add a new Grade. The Start Date will default to -01/09/1990, but this can be edited. Use the Insert icon to add a new Grade between the existing grades. A Grade can also be deleted by clicking on the Remove icon.
Select (tick) the Use Age Mappings check box to display the age mapping fields. Click the button adjacent to the required grade to display the Age Mapping dialog. Highlight the required Code and click the Open button, or to click the New button to add a new code. Enter one or more age ranges with descriptions. Click the Save button.
If the Type selected is Marks Decimal or Marks Integer then the Gradeset History will display the Bottom Mark and Top Mark for each grade.
To record a long text description, click the Memo button.
Result Sets
The Result Sets option is accessed via Aspect ManagementAspect Management . The purpose of this option is to define Result Sets which may be used as an additional criteria for results when associated with an Aspect. Such Result Sets are linked to Templates when defining a column within a Template.
A Result Set is a mechanism for grouping a set of Aspects/Results together (in a Result Set) and thereby facilitating their bulk import/export and analysis.
A Result Set can be associated with a Template column. If it is, the relevant column of any Marksheet associated with the Template will only retrieve results marked with the specified Result Set. As an example, this could be used to create a Marksheet with a column that only retrieved mock scores (if a Mock Result Set has been used to identify the mock results).
All returned Results will be labelled with the Result Set name, ensuring schools can export them easily and the Local Authority can acquire and analyse the responses efficiently
When the Result Set option is selected the Result Set Enquiry page is opened.
Enquiry and Details:

The Result Sets Enquiry page provides fields in which to enter or select search criteria. These fields are the Result Set NameResult Set Name, SupplierSupplier, Start DateStart Date and an ActiveActive checkbox.
When Search is clicked the search process will return a list of Result Sets matching the criteria entered, for you to select from. Alternatively, clicking Search with no criteria will return all Result Sets on the database.
You may expand or collapse the Enquiry Search Criteria panel by clicking the expand icon (the arrows on the icon will invert appropriate to the next available action). Clicking the adjacent down arrow gives you the option to Automatically Collapse following a search. This setting will take effect on all Enquiry pages.
Double clicking on an item in the list or clicking Open in New Window will open the Result Set Details page showing the selected Result Set. Clicking New will open a blank page for you to define a new Result Set.
- Result Set DetailsResult Set Details
This page displays details of the selected Result Set. These comprise, a Result Set NameResult Set Name, Default NameDefault Name, SupplierSupplier and Start and End DatesStart and End Dates. Select the dates, if applicable, by clicking the down-arrow on either Date field and select from the drop-down calendars.
The Updated by and Last Updated Date field shows the Login ID of the person who changed the Result Set and the data and time of the change. These fields are updated when the record is saved.
A new Result Set can be created by clicking the New icon at the top of the page and entering new definition details.
Authors
Authors are set up in Focus | Aspects Management | AuthorsAuthors . This opens the Authors Enquiry.
This allows the user to create and maintain Authors for Aspects.

The Authors Enquiry will allow the user to search the system to see if an Author already exists. The user can search on either: Author Name or Author CodeAuthor Name or Author Code. Click the Next and Previous icons to move to a different record and view the Author Details in the panels below. Click on a column headingheading to change the order of the browse.
Double click on a record or highlight a record and click the Open icon to view the Author Detail (in the panel below). If the Author is not found then a New one can be created.
Click Delete to remove an item. You will be prompted with a messagemessage.

The Author Detail [New Author] panel opens below the Authors Enquiry when viewing an existing record.
To add a new Author enter the details for:
- Author Id
- Author Name
- Author Code
Save the record.
