Areas, Clusters and Groupings
Areas, Clusters and Grouping are concerned with populating groups of students.
Under Area, it is possible to define students by their addresses and to create a polygon area or an area with a specified radius from a given point. This facility assumes that the address details contain Eastings and Northings data.
A Cluster can be defined as a collection of bases from which it is possible to populate the students within the selected bases.
Groupings are defined to allow selections of students with common traits regardless of base, for instance those students eligible for free school meals or belonging to a particular ethnic minority. Groupings may be made by selecting students manually or by creating a report and using the report return to populate the grouping.
For a School Census file to be imported it is necessary to use the Data Import facility. However, to monitor census file importing it is necessary to create a Project. A Project comprises of a Cluster of Bases. You may create or select an existing Cluster, or by default the system will create a Project comprising of all Bases.
Select Focus | Analysis & Reporting | Areas, Clusters and Groupings to open the Area, Cluster and Grouping Enquiry.
Area, Cluster and Grouping Enquiry
The Area, Cluster and Grouping Enquiry is opened from Focus | Analysis & ReportingAnalysis & Reporting .
To find the required Area, Cluster or Grouping enter a full or partial description in the Name field.
Clicking Search will return a list, under a separate heading for each Area, Cluster or Grouping, matching the selection criteria. You may expand or collapse a panel by clicking the iconicon .
Click the Next and Previous icons to move to a different record. Click on a column headingheading to change the order of the list.
Highlight the record and click Select to view the details. Double click on an item to view the details in a separate window.
Click Delete to remove an item. You will be prompted with a message to confirm that you wish to delete the Area, Cluster or Grouping.
Area
The term Area is used to define students by their addresses and to create a polygon area (Geopgraphic Area Polygon) or an area with a specified radius from a given point (Geographic Area Circle). This facility assumes that the address details contain Eastings and Northings data.
Area Details
Geographic Area (Polygon)
A Geographic Area (Polygon) is created with Eastings and Northings co-ordinates.
To define a new polygon enter a Name and Description.
LOA (Local Output Area) and SOA (Super Output Area) can be defined here.
In the Map Area panel click on Add and enter Easting and NorthingEasting and Northing co-ordinates. Polygons must contain at least three points. Save.
To remove Easting and Northing data click Remove.
Click on Import to select co-ordinates .csv file to import.
Geographic Area (Circle)
A Geographic Area (Circle) is created with a specified radius from a given point.
To define a new circle enter a Name and Description.
LOA (Local Output Area) and SOA (Super Output Area) can be defined here.
In the Map Area enter Easting and Northing co-ordinates. Enter the number of metres for Internal Radius and External Radius. Save.
Cluster
A Cluster can be defined as a collection of bases from which it is possible to populate the students within the selected bases.
A Cluster can be defined using one of two methods: Manual Population or SQL Reporting Service.
To define a New Cluster, from the Area, Cluster and Grouping Enquiry click on the Newdown arrow, select Cluster. This will open the Cluster Detail panels.
Cluster Details
Enter a Name and Description for the Cluster. Save.
It is possible to manually populate a cluster by selecting from the Base Enquiry display. Check the box for Manual Population (which is set to ‘x’ by default). You can Add (or Remove) bases from the Cluster as required.
Note it is also possible to create a new base
Click on a column headingheading to alter the order of the list.
Alternatively a Cluster can be defined via the use of the SQL Reporting Service.
Grouping
The term Grouping is used to identify a collection of students or people. Specifically, the term also includes a cohort or a base of students, although in this case the grouping is exact and so these terms are used to help define the student group more precisely. The term can also be used to describe the students that belong to a group of schools (a Cluster).
The term Cluster tends to be associated with a group of schools, but a set of results within a cluster merely reflects the students within those schools that comprise the cluster.
The term Grouping can be interpreted and used to define any pre-determined group sharing the same attribute(s).
Special provision can be made for the same students sharing the same registered base, and the definition can be expanded to include any number of common attributes. For instance:
- All FSM students across the authority
- All students within a given Date of Birth range
- All students of Traveller families
- Any combination of students that have previously been identified and require to be grouped together
Define a Grouping
The process of creating a Grouping is achieved manually or via the use of the SQL Reporting Service.
The Student QBE may be used to populate students where the population is already known. Once the grouping has been established it can be used in areas such as the Results Organiser by selecting the Grouping from the available list in the QBE:
Initially, the grouping is displayed and after the Populate Results button is selected the user may view the grouping’s results.
To create a new grouping select New | Grouping. This will open the Grouping Detail panels.
Grouping Details
For a new Grouping enter a Name and a Description. Save.
It is possible to Add (and Remove) individual students from the nominated grouping where the names of the students are already identified. The user should tick the box for Manual Population (which is set to ‘x’ by default).
Clicking on a column headingheading in Grouping Population will alter the order of the browse list.
Alternatively, where the population has not been identified or is unknown it is possible to define a grouping by use of a report. Once created the report forms the basis for further analysis (for instance the grouping may be used in the Results Organiser).
To define a Grouping using SQL Report Server enter a Name and Description. Save the record and then select Choose Report. This opens the Report Repository/Report Manager window.
Alternatively the grouping may be selected in the Results Organiser.
