Report
My Home Page displays a browse list of My Completed Reports.
The Report option is accessed by selecting Analysis ReportingAnalysis Reporting | Report from the Focus bar on the Home Page.
Permissions to run reports are set up in Tools | PermissionsPermissions | Report PermissionsReport Permissions.
Permissions to run the system generated reports are granted via Tools | Permissions | Report PermissionsReport Permissions . This opens the Report Permissions window which is divided into two panels showing the Report Definition Repository and information about GroupsGroups and UsersUsers.
To view the list of users associated with a particular group highlight the group and click on the View Users button or double click on the Group Name.
Click on the Search button to view all groups. To locate a particular group enter the initial letters and click the Search button. This will list the Group Name, Group Description and No. of Users and a tick or a cross indicates whether permissions have been granted, or not, for a set of reports. The browse can be ordered by clicking a column header.
Reports
The Reports page lists the reports that have been set up in the system, either for use with SQL Server Report Manager or as a Crystal Report. The page is divided into two areas - Available Reports and Reports in Queue.
Click on the hyperlink in the Links panel to view My Completed Reports.

The available reports are divided into Immediate Reports and Queued Reports.
The Reports are listed under Title and whether the report is a Drill-Through TargetDrill-Through Target.
Open the Report Definition Repository and select the Reports folder. Highlight the required report and click on the Add to Queue button to add the report to the server. The Report Parameter Wizard opens to enable you to set up the Report execution criteria.
Select the Report Format Choose from XML, Crystal Report, Excel, HTML, PDF, RTF or Word Set the report execution priority Choose from High, Medium or Low.
The default is High.Scheduled A cross will not set the report to be scheduled. A tick indicates the report will be scheduled and will enable the calendar.
NB. Do not leave the box blank.Date and Time when the report will be executed Use the calendar to select a date or highlight the figures to overwrite the current date and time. Clicking Next opens a Report Parameter Wizard, enter the required parameter. Click Next to open any additional Report Parameter Wizards, enter the required parameter/s. Clicking Finish will place the report in the Reports in QueueReports in Queue. The report is now available in My Completed Reports. Click Refresh if required.
To run the Crystal Reports highlight the Report folder, select the required report, click on Execute Immediately. This will open the Report Parameter Wizard to allow you to set up the report execution criteria. Click Next, if available, to set the Parameter Values. Click Finish. The Report Viewer will open.
Where a list parameter in a crystal report is set to allow custom values, it is now possible to enter custom values as well as select values from a list.
- Reports in QueueReports in Queue
Reports that have been 'added to queue' are shown in a browse list in the Reports in Queue panel under the following headings:
User The name of the user who requested the report. Title The name of the report. Priority The selected priority - High, Medium or Low. Submitted on The date and time the report was run. Scheduled Yes or No to indicate whether the report was scheduled or not. Schedule Date Date and time if the report was a scheduled report. Format The selected format option - XML, Word, PDF, Crystal Report, RTF, EXCEL or HTML. The order of the browse may be changed by clicking on the headingheading.
A System Administrator or a user assigned the correct permissions can click the Cancel button to stop a queued report. When a report has been selected the Cancel button is only active if the report has not been started.
- Start Report BuilderStart Report Builder
A facility is available to create a report using the One Live Attainment Data Model within the Report Builder. The Start Report Builder is a relatively simple and useful facility that allows users to publish reports without the need for the scope and comprehensive functionality of the Report Designer.
The Report Builder allows you to:
- prepare a snapshot from the database
- carry out an analysis against a snapshot
- conduct a database analysis via SQL Server
- create simple lists based on a report model

- Start Report DesignerStart Report Designer
The Start Report Designer:
- reads a snapshot and stores the information
- takes information from the live data and stores it
- is able to draw information from different data sources
A standard feature of Microsoft reports created in the Report Designer is the ability to drill-through or drill-down to underlying data.
In certain instances it may be inappropriate for the end-user of a report to see certain ‘sensitive’ data. Access is restricted to sensitive data by altering the report model to allow report authors to determine if the recipients should have access to sensitive data or not.
There is a distinction between deliberate viewing of sensitive data because it is appropriate to do so and casual access where it is neither appropriate nor allowed. The amended report model does not preclude the author presenting sensitive data to the end-user, if required, merely denies the end-user access to this type of data.
To enable users to provide reports where it is not possible to ‘drill-down’ to sensitive data a new entity has been created entitled Student Summary. Using this entity does not stop the drill-down, this is still possible but the detail revealed is restricted to the point of being meaningless.

- Start Report ManagerStart Report Manager
The Start Report Manager:
- allows reports to be generated on a regular or repeated basis
- allows reports to be sent as an attachment or email
- can send a .tif or .pdf file
- allows reports to be raised for a given event and sent to a user
Occasionally One will issue updated Attainment Report models. Due to the nature of these models it is not necessary to await formal quarterly updates (as previous).
Updates can be issued at any time subject to quality control standards. However, for the user such updates are problematic as they invariably lead to reports losing links back to the previously associated report model, even if the model name remains consistent throughout.
A facility is available to upload the report model in the event of lost links from reports to the report model. (Regardless of how the model is uploaded, One or Microsoft, the facility can be used to re-link reports.)

- View Report DetailsView Report Details
You may need to click the double chevron button to display the View Report Details button. Clicking the button displays the following additional information in the Report Details dialog.
- Author - Populated from the Crystal Report Author field.
- Estimated Time - This value populated from an XML file created when the report runs. Before running the report for the first time, Estimated Time will be empty. On subsequent viewings, the field will be populated from the time created.
- Title - Populated from the Crystal Report Title field. If the Title field in Crystal Report is empty, then this field will display the filename of the report without the extension i.e. for report6.rpt title will be report6.
- Subject - Populated from the Crystal Report Subject field.
- Description - Populated from the Crystal Report Comments field
My Completed Reports
Completed reports are displayed on the My Home Page. They can also be accessed by clicking on the link My Completed Reports on the Reports page.
The browse list shows:
Result | A green tick (check) indicates the report has run successfully. Double click or click Preview to open the report. A red X (cross) indicates a report that has not generated correctly. Double click or click Preview to open the Report Error LogReport Error Log. The Report Error Log is activated when a report has failed to generate correctly, this is shown by a cross in the Result column. To open the dialog double click on the report or click on Preview. Details are given as to why the report failed to generate. Click Save to save the error log to a text file. Click Print to print the error log. |
User | The name of the user who requested the report. |
Title | The name of the report. |
Submitted on | The date and time the report was run. |
Execution Time | The length of time it took to run the report. |
Report Format | The selected format option - Word, PDF, Crystal Report, RTF, EXCEL or HTML. |
Priority | The selected execution priority - High, Medium or Low. |
Scheduled | Yes or No to indicate whether the report was scheduled or not. |
Schedule Date and Time | Date and time if the report was a scheduled report. |
The order of the browse may be changed by clicking on the headingheading .
Click Refresh to update the list with any newly completed reports.
Click Preview to open a report. You can also open the report by highlighting it in the browse and double clicking. If it is a Crystal Report the Report Viewer will open.
When you Preview/Open a report, a temporary file, related to the report, is created in C:\Documents and Settings\username\Local Settings\Temp\Reports folder. As Reports may contain sensitive data these related temporary files are deleted from the Reports folder when the One application is closed.
Please check in C:\ Documents and Settings\username\Local Settings\Temp folder for previous (pre One 3.43) temporary files; these will need to be manually deleted.
Click Delete to remove the selected report. You will be prompted with a message to confirm that you wish to delete this report.
Report Viewer
The Report Viewer is accessed when a Crystal Report is opened from My Completed Reports, or selecting a Summary Report in the Links panel.
In the left hand panel the Group TreeGroup Tree lists all the records contained in the report.
The Main Report is visible in the right hand panel. Double clicking on a record will open a new tab allowing you to view particular information within the reportreport . Click on the first tab to return to the Main Report.
Information at the foot of the report shows the Current Page No, Total Page No. and Zoom Factor.
Use the toolbar to navigate through the report.
